How to handle it — step by step

Prepare your passport photo

You need 1 colour photo measuring 35×45 mm, taken no more than 6 months before submission.

The photo must be:

  • on a uniform, light background
  • without head coverings or dark glasses
  • with a clearly visible oval of the face

The easiest way is to have it taken at a professional photo studio — ask for a "biometric passport photo".

Gather required documents

To apply for a passport you need:

  • National ID card (dowód osobisty) — a valid identity document
  • Passport photo — prepared in the previous step
  • Proof of passport fee payment

If you changed your surname after marrying abroad, you will also need a marriage certificate extract issued by a Polish registry office (USC).

Prepare your current passport

When renewing, bring your current passport (even if it has already expired). It will be invalidated when you collect the new document.

If you are renewing due to a data change (e.g. surname), you have 30 days from the date of the change. After that, your current passport loses its validity.

Child (under 18)
Gather documents for a child

To apply for a child's passport you need:

  • Child's passport photo (35×45 mm)
  • ID card of the applying parent/guardian
  • Child's ID card or passport (if the child has one)
  • Passport fee payment confirmation
  • Consent of the second parent — in one of the following ways:
    • the second parent appears in person at the passport office
    • written consent with a notarised signature
    • online consent via gov.pl (requires a Trusted Profile)

If the child was born abroad — a birth certificate extract entered into the Polish civil registry is required.

Pay the passport fee

The passport fee must be paid before your visit to the office. You must show proof of payment when submitting the application.

Submit your application at a passport office

The passport application for an adult must be submitted in person at any passport office in Poland (online submission is not available).

You can fill in the application form on-site or in advance using the electronic form at gov.pl (print it and bring it with you).

After submitting, you will receive a confirmation with a case number and expected collection date.

You can submit your application at any passport office in Poland — you do not need to go to the office for your place of residence
Applications submitted abroad are handled at the consulate — processing takes longer (approx. 6–8 weeks)

Child (under 18)
Submit the child's passport application

You can apply for a child's passport:

  • In person at any passport office
  • Online via gov.pl (requires a Trusted Profile, qualified electronic signature, or e-ID)

When applying in person:

  • Child under 5 — does not need to be present
  • Child 5 and over — must be present

Consent of both parents is required. The second parent can give consent in person, notarised, or online via gov.pl.

From 1 January 2026, online applications are handled via the e-Doręczenia (e-Delivery) system

Wait for processing

Processing time is approximately 1 month from the date of application.

You can check whether your passport is ready:

  • online — on the voivodeship office website, using the case number from your application confirmation
  • by phone — by calling the passport office

You will receive an SMS or email when the document is ready (if you provided contact details on the application).

Keep your application confirmation — it contains the case number for tracking status
During the summer holiday season, processing times may be longer — apply in advance
Applications submitted at a consulate abroad — waiting time approx. 6–8 weeks
Collect your passport

Collect your passport in person at the same passport office where you submitted the application. Bring your ID card.

When collecting:

  • Check the accuracy of the data in the new passport
  • If renewing — hand in the old document for invalidation
  • Sign to confirm receipt

Passport validity:

  • Adult — 10 years
  • Child under 12 — 5 years
  • Child 12–18 — 10 years

After completion

Check the data in the new passport

Make sure that your first name, surname, date of birth and other details are correct. Report any errors immediately at the passport office.

Update your details with airlines and booking systems

If you have flights or trips booked, update your passport number in the reservations.

Check visa requirements for your destination country

Some countries require a passport valid for at least 6 months from the planned departure date.
